Trip Letter and Hello


Hello and welcome to the blog about our trip to Florida in March 2014!
If you are visiting this blog, I assume you already received our letter about the trip. Mr. Winkey and I are really excited about this great opportunity, we are also really excited about Harry Potter World, but mostly about helping your students have a great musical experience. As the year goes, I plan to update this blog with information about payments, fund raising, other trip information, and interviews with the students. If you have questions please feel free to contact me or Mr. Winkey at anytime. Our contact information is below and in the letter you received. In this blog post I am going to include the letter we sent out in late July about the trip and the meeting on Aug. 22, 2013. I will update some more as we get closer to August, so until then, enjoy the rest of your summer and we will see you Aug. 22.

Dear AGWSR Music Parents:

As many of you know, the AGWSR Music Department will be traveling to Orlando, Florida this coming Spring. We are sending this letter to invite you to attend an informational meeting about the trip on Thursday, Aug. 22, 2013 at 7pm in the High School Vocal Room. Also included in this letter is some of the essential information about the trip. This will be a fast turn around, but if your child is planning on attending the trip, we will need a $100 non-refundable deposit by September 1st.

The trip will take place March 16-22, 2014. The itinerary itself is nearly complete, but some small changes may occur. It will look something very similar to this.
           
Day 1: Sunday - 7:30 am Buses arrive at AGWSR HS
                        8:30 am Buses depart for Florida. We will stop for lunch and dinner. Meals on own. 
                             Overnight travel to Florida – sleep on bus.

Day 2: Monday - 11:30 am Arrive at Cocoa Beach- swim, play volleyball, shop at Ron Jon Surf Shop- 
                                 many restaurants nearby, meal on own.
                        5:00 pm- Leave the beach for Orlando and check in to hotel.

Day 3: Tuesday - Breakfast at Hotel, Performance on Disney Stage (Disney will set time), Magic            
                            Kingdom- Meal card included

Day 4: Wednesday - Breakfast at Hotel, Epcot- Meal Card Included, Pirate Dinner Theater

Day 5: Thursday - Breakfast at Hotel, Performance at the NASCAR Sports Grille at Universal Studios 
                           City Walk, Universal Studios and Islands of Adventure - includes Harry Potter World.         
                            Lunch on own.
                            Dinner at NASCAR Sports Grille - meal included.

Day 6: Friday - Breakfast at Hotel, Hollywood Studios- meal card included. Depart Orlando for home 
                        @ 7:30

Day 7:  Saturday – Travel day. Meals on own. Arrive at AGWSR HS @ 8:00 pm.

Eligibility:
Students who will be in High School during the 2013-2014 school year and have been enrolled in music during the 2012-2013 and 2013-2014 school year will be eligible to attend the trip. Students must also agree to abide by our good conduct policy, which will be distributed at the meeting Aug. 22. Four (4) chaperones will be needed for this trip! Preference will be given based on someone who can accompany the choir, followed by parents of a music student attending the trip. Chaperones will have a highly reduced rate of $200! We ask for the $100 deposit and then another $100 for the trip ($200 total). If you are interested, please send us an email ASAP! (kmedick@agwsr.org or twinkey@agwsr.org). Chaperones will be chosen once all applicants have been submitted, discussed, and chosen by the directors.

Cost:
The overall cost of the trip depends on how many students attend. The more students who go, the cheaper per person, and vise versa. The final price will not be set until after the September 1st deposit. The trip will most likely be just over $900. This price includes the bus, hotel and nighttime security, entrance into all parks, Pirate Dinner Theater, $45 on a meal card for inside the Disney parks, a meal at the NASCAR Sports Grille, and breakfasts at the hotel. Students will need to spend some of their own money as well, so we recommend bringing $100-$200 based on how much your student wants to spend. The payment plan is included below. Fundraising will begin to be applied on the Oct. 1 payment. The initial deposit must be paid for without fundraising. Your student has $_______ in their fundraising account. There will be more fundraising opportunities during the year. If the financial burden of this trip is the only reason your student is not or cannot go, PLEASE let either of us know and we can see what we can do. We do not have the means to help everyone, but there may be a way for us to help in some way.


Payment Schedule:
                       
September 1 - $100 deposit (non-refundable)
October 1 - $100
November 1- $230
January 7 - $230
February 7 - Final Balance ($230-250 depending on final cost based on number of students on the trip)

We are both very excited about this opportunity for our students and the music department! The music trips both of us participated in as students are some of our favorite memories from our high school music experiences. Our performances at Disney and Universal will provide our students with a chance to perform for an international audience! Music trips provide students the opportunity to bond with one another outside of school and will make memories that will last a lifetime!
